Administration - San Mateo, CA - Full Time

Overview

A fast growing start up is looking for an energetic Office manager and HR administrator. You have supreme attention to detail, a strong work ethic, and possess strong professionalism, great communication skills and relationship building ability. You enjoy a fast-paced environment and will be expected to wear many hats by providing a wide range of office management, operational and administrative support to the CEO, Head of Finance and Operations, and Executive Team (CPO/Head of Marketing/SVP Sales, CCO). You will help to resolve operational issues before they arise, initiate and organize awesome team spirit and holiday events. We are looking for someone to join our growing team and bring their personal touch to continue making Totango a super fun, welcoming and dynamic work place. Your day will be full of interaction with senior executives and all levels of employees.

 

Primary Responsibilities


General Office management

  • Calendaring general meetings
  • Meeting organization for CEO
  • Schedule Board Meetings and communicate with Board of Directors
  • Kitchen stocking
  • Landlord relationships
  • Key Control
  • Lunch (catering) orders
  • Travel arrangements
  • Office supplies management
  • Phone system management
  • Manage and book conference rooms
  • Video Conferencing system management
  • Mail, shipping

HR

  • Onboarding new hires
  • Plan and Organize team building events
  • Organizing holiday events
  • Managing monthly Birthdays events
  • Managing Gym memberships

Finance / Admin

  • Customers Checks bank deposit
  • Quarterly admin support during audit (pulling sampled receipts, invoices etc.)
  • Contracts administration
  • Bank reconciliation assistance
  • Credit Card reconciliation
  • Expense reports support
  • Processing annual 1099’s

Other:

  • Ad-hoc tasks, assist teams on projects such as marketing events etc.

Skills and Experience

  • 3+ years prior experience in office management, operations, administration, in a startup environment is preferred
  • College Degree
  • Positive, engaging, and warm demeanor
  • Immediate responsiveness, and a proactive mindset
  • Ability to work effectively in a fast-paced environment with demanding and/or shifting deadlines
  • Strong multitasking and problem-solving capabilities
  • Impeccable oral and written communication skills
  • Great listening skills; ability to sense and respond promptly to Executive needs
  • Must be a team player with flexibility and ability to adapt to changes with a positive, can-do attitude
  • Strong computer skills (Word, Excel email, calendaring, social media)
  • Proactive, solutions-focused attitude
  • Enjoys the opportunities and challenges of working in a start-up environment
